During
meetings, participants often get worked up in a discussion. As host, you should
ensure that they have time to cool-down and distract themselves once in a while.
In addition to sufficient breaks, make sure to use visual elements during each
working stage of the meeting. Resort to various media.
1. Flip chart: It is convenient for writing down questions on
request. But it is also the tool of choice for presenting the results of
workgroups.
Advantage: The paper charts can be displayed during the
meeting to keep track of the developments.
Disadvantage: Inappropriate for archiving as the information
from the charts has to be copied.
2. Overhead projector: Suitable for lectures and expert
speeches, it is now regarded as outdated. Why not choose a beamer presentation
instead?
3. Beamer presentation: A slide presentation running on
your PC and beamer is ideal for lectures and presentations.
Advantage: Luminous technology, direct transmission from
the computer, quick adjustments
Disadvantage: Ambient noise; not appropriate for rooms with
strong natural light
4. Notice boards: Suitable for presenting workshop
results
Advantage: Good visualization of group results
Disadvantage: Requires a lot of space
